Workflows- Booking Feature

Automate confirmations, reminders, follow-ups, and internal tasks to keep your business running smoothly.

Workflows allow you to automate actions based on booking activity — saving time and ensuring consistent communication with every customer.

Instead of manually sending messages, reminders, or follow-ups, you can create automated sequences that trigger when specific events happen.

You can build workflows based on:

  • New bookings

  • Completed appointments

  • Cancellations

  • No-shows

  • Payment confirmations

  • Waiting list activity

  • Customer categories

Workflows help you automate:

  • Email notifications

  • SMS reminders

  • Follow-up messages

  • Review requests

  • Rebooking prompts

  • Internal staff alerts

This ensures nothing falls through the cracks.

Follow these steps to create your first workflow:

Step 1: Access Workflows

  1. Log into your Get Synced dashboard.

  2. Navigate to Automation or Workflows.

  3. Click Create New Workflow.

Step 2: Choose a Trigger

A trigger is the event that starts the workflow.

Common triggers:

  • Appointment booked

  • Appointment completed

  • Appointment cancelled

  • Customer joins waiting list

  • Package purchased

Example:
“Appointment Completed” → Send Review Request

Step 3: Add Actions

Once the trigger is set, choose what happens next.

Actions can include:

  • Send email

  • Send SMS

  • Notify staff

  • Apply customer category

  • Add internal note

  • Delay action (e.g. 24 hours later)

You can stack multiple actions in sequence.

Example workflow:

Appointment Completed
→ Wait 2 hours
→ Send review request email
→ Wait 7 days
→ Send rebooking reminder

Step 4: Activate the Workflow

Once built:

  • Review all steps

  • Test with a sample booking

  • Click Activate

Your automation is now live.

🔄 How Workflows Work

  1. A booking event occurs.

  2. The system detects the trigger.

  3. Actions run automatically.

  4. Customers and staff receive communications as scheduled.

No manual involvement required.

🚀 Example Workflow Ideas

Here are powerful examples:

For Clinics

  • Appointment completed → Send follow-up care instructions

  • 6 weeks later → Send check-in reminder

For Garages

  • MOT completed → Schedule reminder for 11 months later

For Salons

  • Colour treatment → Send maintenance reminder after 8 weeks

For PTs

  • Package completed → Offer renewal discount

Workflows help you stay proactive instead of reactive.

🚀 Best Practices
